Basic Function

Ramsey County Parks & Recreation is hiring an Administrative Assistant to work over the summer season!


Where: Parks Admin Building – 2015 Van Dyke Street in Maplewood
Estimated hours: May through Sept. Approximately 20-30 hours -- weekdays only -- 8a.m.-4:30 p.m.

This position courteously and promptly greets Parks residents and guests both in person and over the phone. Main duties are making shelter reservations, handling incoming calls and other office support duties. Candidates must be punctual.

Skill Requirements: ability to type 40 words per minute, effective communication by phone, in person and through email, moderate skills in navigating the internet and using Microsoft Office.

Please Note: This job posting is being conducted to fill temporary (not to exceed 6 months in length) appointments. The number of hours worked per week and shifts may vary. Examples of Work Performed

  1. Perform duties relating to forms and records maintenance such as gathering documents and information to establish, maintain and update files; searching files for information; maintaining departmental records and statistics; opening, maintaining and closing case files; and recommending new forms or revisions to existing forms. Depending on assignment, duties may involve the maintenance of or retrieval of information from electronic data files by operating computer terminals.
  2. Perform public contact duties such as receiving and routing phone calls; responding to complaints, inquiries and service requests by phone and in person; directing clients or visitors to proper locations; assisting the public in completing forms; scheduling appointments for clients or staff; and assigning service requests to program units or staff in accordance with established guidelines.
  3. Perform general office services to include opening, sorting and distributing mail and preparing outgoing mail; preparing and sending form letters and composing routine letters; photocopying documents; and related duties.
  4. Perform budget maintenance or payroll duties such as preparing or verifying timesheets or payrolls; maintaining inventories of office supplies; preparing, checking or processing contracts/agreements, reimbursements, requisitions, purchase orders and accounts payable forms; preparing, checking or processing bills to patients, clients or other agencies; receiving and receipting for cash; and maintaining and balancing accounts in accordance with office bookkeeping practices.
  5. Perform administrative functions in the unit assigned. Check, verify, process or distribute forms, records, computer print-outs, documents, and payments.
  6. Set priorities and, may schedule staff according to established guidelines in order to meet deadlines and maintain a smooth work flow; and to otherwise ensure the efficiency of administrative operations.
  7. Perform duties relating to the production of correspondence and other written materials, such as gathering, collating and packaging items for distribution.
  8. May provide work direction to other administrative personnel engaged in similar duties.

(The work assigned to a position in this classification may not include all possible tasks in this work and does not limit the assignment of any additional tasks in this classification. Regular attendance according to the position's management approved work schedule is required.)

Minimum Qualifications

Education: High school graduation or equivalent.

Experience: Two years of related experience.

Substitution: Equivalent combination of education and related work experience.

Exam/Screening Process Information

This is a temporary, at-will position. This position requires an open screening and selection process. All applicants who meet the minimum qualifications will be forwarded to the hiring department for further consideration on an ongoing basis until all positions have been filled.

Definition of Unclassified from the Ramsey County Personnel Act:

Subdivision 1. General. "The appointing authority may discharge employees in the unclassified service with or without cause. Employees in the unclassified service have no right to a grievance appeal from discharge or other disciplinary action under sections 383A.281 to 383A.301. An employee in an unclassified position shall not have tenure but shall be entitled to all benefits associated with tenure such as vacation leave, sick leave, health insurance, and other benefits as determined by the county board."
